We are currently seeking an Executive Assistant in our Nashville, TN office to partner with and provide administrative support to the Chief Medical Officer and the Chief Human Resources Officer.?This role acts as a friendly gatekeeper to support and manage the CMO and CHRO?s activities and prioritize work to meet business objectives.?

Key responsibilities:

  • Manages day to day administrative affairs of the CMO and CHRO, prioritizing focus on the strategic work to meet business objectives and the goals of executive leadership
  • Manages calendars and administration functions for other executive team members as assigned
  • Leverage time by ensuring prompt meeting coordination, correspondence responses, and stays on-track with schedule, speaking engagement coordination, expense reports, and travel arrangements
  • Creates, reviews, proofreads, and formats correspondence and documents prepared for the executive?s signature to ensure accuracy and completeness as well as consistency with organization policy
  • Makes travel arrangements when requested; prepares the itinerary, confirms lodging and transportation, and processes travel reconciliation
  • Acts as a point of contact between the executives and internal/external stakeholders
  • Provide background information and/or supporting documents in preparation for scheduled appointments, meetings, speaking engagements, conferences, interviews, etc.
  • Ensures the confidentiality of employee, customer and legal information
  • Processes required paperwork for new hires, changes in job classification, salary increases, and other related employment matters
  • Supports administrative processes for new hire, onboarding, including maintenance of I-9 forms
  • Maintains confidentiality in handling highly sensitive information

The successful candidate:

  • Associate Degree from an accredited institution and a minimum of five years related experience; Bachelor?s Degree preferred
  • Experience as a master scheduler for heavy calendar and travel management
  • Advanced knowledge of MS Office programs (Outlook, Word, Excel and PowerPoint), expertise to create business-critical presentations
  • High level of discretion, professionalism and attention to detail
  • Excellent written and verbal communications and skills for internal team and external client communication
  • Discreet; ability to maintain confidentiality with sensitive matters
  • Accurate, organized and efficient with stellar attention to detail and follow-through
  • Sense of urgency and dedication to ensuring tasks are carried through to completion with timely delivery
  • Demonstrated ability to think critically, creatively to solve problems and demonstrate good judgement
  • ADP experience a plus
